How to add and remove tags

Find the best way to manage tags according to different operational needs and scenarios


Tags are a powerful feature within the User.com app that allow you to categorize and segment various entities such as users, deals, and companies effortlessly. If you want to know more basic information about the tags and their usage, please check the following article.

Whether you're looking to streamline your marketing campaigns, enhance customer service, or keep your sales pipeline organized, understanding how to effectively add and remove tags is crucial. This guide will walk you through the simple steps to manage tags across different objects in User.com, ensuring you can maximize your use of this flexible tool from day one. Let's get started on making your data work smarter for you!

Automations

The most popular way of adding and removing tags. Automations allow you to set rules that automatically add or remove tags based on specific triggers or conditions within the user journey.

There are two modules responsible for these manipulations:

Example: Suppose you want to tag users as "Golden" if they have made more than seven purchases on your website. You can set up an automation that adds this tag whenever this condition is met, helping to segment highly engaged users for targeted campaigns.

NOTE! You can only add/remove user tags with the help of the automations.

Data Section

Tags can be added or removed manually through the various data sections of the platform, such as People or Products. This method provides a hands-on approach to manage tags based on user insights or operational changes.

To add/remove each type of tags you need to perform similar steps.

  • User tags: Data > People > Apply filters or mark the objects manually > Manage > Add Tags/Remove Tags

  • Company tags: Data > Companies > Apply filters or mark the objects manually > Manage > Add Tags/Remove Tags

  • Product tags: Data > Products > Apply filters or mark the objects manually > Manage > Add Tags/Remove Tags

  • Deal tags: CRM > Deals (table view) > Apply filters or mark the objects manually > Manage > Add Tags/Remove Tags

  • Ticket tags: Tools > Tickets > Apply filters or mark the objects manually > Manage > Add Tags/Remove Tags

  • Messages tags: Inbox > Hover over the message in a conversation > Three dots near the message > Add a Tag (to remove a tag just click on the X icon near the tag)

Example: In the People section, you can manually add the tag "Prospect" to new entries that are yet to be contacted. This tag helps sales teams quickly identify and prioritize new leads for outreach.

Profile

You can add or remove tags directly from the profile page of the object. This method is useful for updating tags based on specific interactions or changes in user status, especially when you work directly on your database in a manual way.

To add/remove tags to different objects you also need to proceed with similar steps:

  • User tags: Data > People > Choose/filter out the user and click on the name > User Profile > Tags section on the left > "+" icon for adding tags (to remove a tag just click on the X icon near the tag)

  • Company tags: Data > Companies > Choose/filter out the company and click on its name > Company Profile > Tags section on the left > "+" icon for adding tags (to remove a tag just click on the X icon near the tag)

  • Product tags: Data > Products > Choose/filter out the product and click on its name > Product Profile > Tags section on the left > "+" icon for adding tags (to remove a tag just click on the X icon near the tag)

  • Deal tags: CRM > Deals (table view) > Choose/filter out the deal and click on its name > Deal Profile > Tags section on the left > "+" icon for adding tags (to remove a tag just click on the X icon near the tag)

  • Ticket tags: Tools > Tickets > Choose/filter out the ticket and click on its name > Ticket Profile > Tags section on the left > "+" icon for adding tags (to remove a tag just click on the X icon near the tag)

  • Messages tags: Inbox > Hover over the message in a conversation > Three dots near the message > Add a Tag (to remove a tag just click on the X icon near the tag)

Example: A sales representative reviews interactions with a lead who has recently demonstrated a high level of interest during a product demo. After the product demo, the sales representative accesses the lead's profile in User.com and manually adds a tag labeled "High Interest".

Inbox

The Inbox section in User.com allows for direct communication with users and provides a convenient interface for managing user tags on-the-fly during interactions. This feature is particularly useful for customer support or sales teams who need to update user information based on live conversations.

To add a tag to the user you chat with you need to:

  1. Find the "Tags" section in the right part of the panel.

  2. Click on the "+" icon and choose one of the existing tags or create a new one.

Example: During a live chat session, a user expresses satisfaction with the resolution of their issue. The customer support agent, recognizing an opportunity to identify happy customers, adds a "Satisfied Customer" tag directly from the Inbox section. This tag helps the marketing team later identify and reach out to these users for testimonials or to participate in customer satisfaction surveys.

CSV Import

When importing data via a CSV file, tags can be added to multiple objects at once. This is efficient for batch processing, especially when integrating new data into the platform. Moreover, it makes much easier to find the imported elements by one common tag. This action can also trigger the automation for the users imported with the specific tag.

We highly recommend to tag the imports even with "technical tags" in order to control the process and keep the sign of the import activity.

To add a tag to your imported record you need to create a new tag or use the existing one right on the first step of the import process.
Remember to separate the tags by commas, if you want to apply more than one tag.

In case of the user import you can also decide whether this action should or should not trigger the automations which starts with "Tag Added" trigger and include the same tag as you add for the imported users.
Using this option you can include these records from outside into the existing processes.

Example: During a seasonal marketing drive, you might import a list of potential customers from a recent event and tag them as "Event Lead - Summer 2025". This tag helps to tailor follow-up marketing efforts specifically geared towards this group.

REST API

The REST API can be used to add or remove tags from various objects. This method is ideal for integrating User.com with other systems or automating tag management at scale.

Example: When the status of the user or company changes in your internal database you can perform the update of the user or company by adding or removing a specific tag.
